General

How can I register?
You can register online via the user area.

What is included in my registration?
On day(s) registered, you have access to all plenary, oral and visual sessions of the EU PVSEC Conference Programme. You further have access to EU PVSEC Parallel Events on day(s) registered, as well as to the Industry Exhibition (24-27 September 2018), Coffee breaks on day(s) registered, Welcome Reception, EU PVSEC material (e.g. bag, programme brochure), WLAN on-site, use of wardrobe on-site and free access to Conference Proceedings 2018 right after publication.

Can I register more than one person?
Yes, please login with your e-mail address. Within the online registration process, you will have the possibility to register a multiple number of delegates. You can also change the debtor contact person and/or the billing address and ask for an invoice in advance.

Invoicing

Can I receive an invoice before payment?
You can ask for an invoice within the online registration process before payment via the “request invoice button”. It will be sent to the debtor contact person per e-mail. The debtor contact person automatically is the registered person, as long as no other contact person is indicated.


Why do I have to pay VAT (value added tax) for my participation in the Conference?
The Conference fees include Belgian VAT according to the Belgian value-added tax law. Conference fees have to be invoiced with the VAT of the country, in which the service is provided (in this case: Belgium).

The indicated debtor contact person will have access to all related invoices and accreditations of the participants. Invoices will be sent via e-mail to the debtor contact person only, accreditations will be sent via e-mail both to the debtor contact person and to the participant.

Invitation letter

I need an invitation letter. Where can I get it from?

Authors can download their invitation letter within the registration process in the user profile, as soon as they received their official notification letter of abstract acceptance by the programme secretariat (Jon de Gregorio, This email address is being protected from spambots. You need JavaScript enabled to view it., phone +49-(0)89-720 12 735).
If you are not an author, you can download your invitation letter only after complete, successful registration including full payment of your registration fee.


Payment

How can I pay my registration?
You can pay immediately within your online registration process or at a later point in time after receiving your invoice. Please use the “request invoice button” to ask for an invoice in advance.(see invoicing for more details) Make sure to respect the payment deadlines!

You can pay via credit card (VISA, Master and American Express are accepted) and per bank transfer.

Documents for Participants

Where can I find my invoice, accreditation, invitation letter and my letter of attendance?
All relevant documents are ready for download in your user area, in the tab “Downloads”.
The invoice will be available after successful payment or after requesting an invoice in advance.
The accreditation will only be available after full payment of the registration fee.
The invitation letter will be ready for download after official acceptance of your paper or full payment of your registration fee.
The letter of attendance will be available as soon as you have received your badge on-site at the EU PVSEC in Brussels.

How do I get my Conference Badge?
The Conference badge will only be handed out on-site at the EU PVSEC registration desks.
You have to show your Conference accreditation or your passport for identification.
Students have to show an original and valid student status proof as well.

Participant Change

I fully registered for the EU PVSEC but I am now prevented to participate. Can I transfer my registration to another person?
Yes, you can do so, in the user area in the Conference registration mask. Just click on your name (being the previous registrant) and a window with respective “name change” option will pop-up.
The new registrant will receive a personalised accreditation (after full payment). The original invoice cannot be changed.

 

Dinner and Lunch

How can I participate at the  EU PVSEC Conference Dinner?
The EU PVSEC 2018 Conference Dinner takes place on Wednesday evening, 26 September 2018. You can book your ticket(s) within your online registration process. Tickets are limited!

Where does the EU PVSEC Networking Lunch take place and how can I participate?
The EU PVSEC 2018 Networking Lunch takes place from Monday to Thursday, 24-27 September in a dedicated networking area, directly at SQUARE – Brussels Meeting Centre.  
You can book your ticket(s) within your online registration process. Tickets are limited and may become subject to availability!
